Medical Office Assistant

Position Summary

Franklin Primary Health Center is seeking a professional and customer-focused Medical Office Assistant to provide administrative and clerical support while delivering exceptional customer service to patients, visitors, and staff. This position is responsible for patient registration, scheduling, insurance verification, medical records support, payment processing, and maintaining the confidentiality of patient information.

Essential Duties and Responsibilities

  • Greet patients, visitors, and staff in a professional, courteous, and welcoming manner.
  • Register patients and update demographic and insurance information.
  • Answer and route incoming telephone calls using proper telephone etiquette.
  • Schedule patient appointments and maintain provider schedules.
  • Retrieve and prepare patient medical records for appointments.
  • Verify income eligibility for the Sliding Fee Discount Program.
  • Generate encounter forms and prepare patient charts.
  • Maintain accurate patient records and documentation.
  • Process patient payments and reconcile daily receipts.
  • Prepare deposits and assist with insurance billing activities.
  • Maintain confidentiality in accordance with HIPAA regulations.
  • Assist with incoming and outgoing mail distribution.
  • Maintain a clean, organized reception area.
  • Perform other duties as assigned.

Minimum Qualifications

  • High school diploma or GED required.
  • Graduate of an approved Medical Office Assistant program or equivalent education and experience.
  • Excellent customer service and communication skills.
  • Strong organizational and multitasking abilities.

Preferred Qualifications

  • One or more years of experience in a medical office or healthcare setting.
  • Knowledge of medical terminology.
  • Experience with CPT and ICD coding.
  • Experience processing Medicaid, Medicare, and commercial insurance claims.
